Providing the right information needed to arrange freight transport is essential to ensure that collection is carried out smoothly, safely and without incidents. Before the lorry arrives at the loading point, the transport company needs specific details in order to plan the service, assign the right vehicle and coordinate the operation properly.

At Subitur, we work with different transport and logistics solutions, so having clear information from the outset allows us to adapt each service to the type of goods, route and customer requirements.

Origin, destination and schedules

The first step is to provide the full collection and delivery addresses, including postcode, company contact details and any useful information about access. It is not enough to indicate the town or city: the more accurate the information, the better the route can be planned.

It is also important to confirm the available loading and unloading times. If there is a scheduled appointment, time restrictions, a midday closure or a specific contact person, this should be communicated before collection. Poor coordination can lead to delays at the loading bay or along the route. You can find out more in our article on reducing waiting times during loading and unloading.

Weight, volume and number of packages

To organise transport correctly, it is essential to know the total weight, volume and number of packages. This information makes it possible to select the appropriate vehicle, calculate the space required and decide whether the service should be carried out as a full load, groupage or another logistics solution.

Incorrect information can lead to capacity issues, delays or difficulties in securing the goods properly. Load securing is also an important aspect of road safety, as set out in Royal Decree 563/2017.

Type of goods and special conditions

Not all goods are transported in the same way. The customer should clearly state whether the shipment consists of general goods, palletised goods, bulk goods, waste, products for animal feed, SANDACH CAT.3 material or any other load with specific requirements.

This information helps define the type of vehicle, the necessary documentation and the handling conditions. Subitur offers full load, groupage, bulk goods, waste and specialised transport services, always adapting the operation to each case. You can also read our article on how to prepare goods before sending them by road.

Access and loading equipment

Before collection, it is also advisable to provide information about the conditions at the loading point: whether there is a loading bay, forklift, pallet truck, manoeuvring space or parking area for the lorry. Access limitations, height restrictions, opening times or the need for a specific type of vehicle can have a direct impact on the operation.

At Subitur, we have a fleet prepared for different logistics needs, allowing us to adapt the service to the type of load, route and loading or unloading conditions.

Required documentation

Documentation should be ready before the vehicle arrives. Depending on the type of transport, delivery notes, a consignment note, CMR, certificates, waste documentation, order references or specific customer instructions may be required.

In international transport, the CMR is particularly important, as it accompanies the goods throughout the journey. You can read more in our article on the CMR in international transport. In addition, Law 15/2009 establishes that the sender must provide the carrier with the documentation required to carry out the transport.

Subitur, transport with planning and control

The information needed to arrange freight transport is the basis for organising an efficient collection, avoiding incidents and ensuring that the goods are transported under the right conditions.

At Subitur, we offer transport and logistics solutions tailored to each customer, with services including full loads, groupage, storage, bulk goods, waste and specialised transport.

If your company needs to arrange a collection, you can contact Subitur and request personalised advice.
